About the role
Reporting to the Market Research and Insights Manager, you will support the broader Marketing team by delivering administrative and financial reporting functions. This role plays a key part in ensuring that marketing projects progress smoothly from initial planning through to the payment of invoices. You will also maintain oversight of marketing spend and will be the first point of contact for incoming request and enquiries to the National Marketing team, ensuring efficient communication and coordination across stakeholders.
Key Responsibilities
- Processing finance and procurement requests, including raising purchase orders, receipting invoices, and assistance with onboarding new suppliers, new agreements.
- Reconciling marketing expenses by raising purchase orders and receiptinginvoices.
- Managing budget account code allocations, ensuring all expenses are coded correctly.
- Tracking and reconciling marketing spend, ensuring that it is within the budgeted allocations.
- Providing budget and marketing spend updates to Marketing management.
- Manage post-campaign return on investment reporting.
- Assisting the Marketing team with the organisation of legal memos.
- Managing incoming enquiries by identifying needs, supporting project partners, and coordinating with relevant teams.
- Coordinating marketing projects with the National marketing team.
- Developing, maintaining and updating marketing project and campaign schedules, calendars and timelines.
- Actively communicating with faculty representatives and team members in the Prospective Student Office for campaign.
- Create presentation templates that require input from multiple Marketing members and coordinate the completion of the presentation.
- Maintaining relationships with suppliers and completing procurement supplier requests.
- Maintain and reorder office supplies for the Marketing office in Fremantle and Sydney.
- Work in collaboration with the Design Manager to order corporate gifts and merchandise.
- Support the University’s Commerical team with ad hoc marketing requests for School Locker.
- Stocktake of corporate gifts and other merchandise.
- Managing corporate gift and merchandise requests for university stakeholders.
- Coordinate deliveries and the collection of post.
Qualifications, skills & experience
- Degree qualifications in accounting, business or commerce with at least four years of relevant experience and/or an equivalent combination of relevant experience and/or education/training.
- Experience with managing financial reconciliation including processing of purchase orders, receipting invoices, budget and spend tracking
- Project management experience.
- Experience working in higher education (desirable).
- The ability to work effectively in fast paced environment to manage multiple concurrent projects.
- Demonstrated understanding of procurement and finance processes
- Highly proficient in Microsoft Office (particularly Microsoft Excel), Canva, PowerBI and Monday (or any other project management tool).
- Strong written, communication and presentation skills.
- Strong project management skills, with the ability to stay organised and meet deadlines.
- High attention to detail, with a demonstrated ability to prioritise workload and to work effectively, both independently and collaboratively as part of a multidisciplinary team, meeting competing deadlines and delivering high quality outcomes.
- Proven record of project management skills leading to the successful execution of projects.
- Positive and solution-focused approach with the ability to be agile and adapt to change.
